This is a busy and varied role requiring excellent communication and organisational skills.<br />
You will be responsible for managing a busy reception area, handling a high volume of telephone calls, welcoming visitors, preparing meeting rooms, processing incoming post and supporting the wider team with administrative duties.</p>
<p><strong>Key Responsibilities</strong></p>
<p>• Meet and greet visitors in a professional and welcoming manner.<br />
• Answer a busy telephone system, take messages and redirect calls appropriately.<br />
• Manage incoming and outgoing post.<br />
• Receive, open, scan and distribute post and documentation.<br />
• Prepare meeting rooms for meetings, client visits and events.<br />
• Operate Microsoft Outlook to send and receive internal communications.<br />
• Record incoming and outgoing documents, parcels and deliveries using databases and spreadsheets.<br />
• Maintain reception and communal areas to a high standard.<br />
• Manage visitor sign-in procedures and visitor records.<br />
• Provide general administrative support to the wider team.<br />
• Filing, scanning, photocopying and document management.<br />
• Assist with additional administration duties as required.</p>

• Previous experience in a Receptionist, Front of House, Customer Service or Administrative role.<br />
• Strong communication and interpersonal skills.<br />

working day to be agreed – limited hybrid available.<br />
Job Purpose<br />
The Office of the Official Report (Hansard) is responsible for providing the official reports of sittings<br />
of the Assembly, meetings of Assembly Committees and a range of other reporting and editorial<br />
services.<br />
An official report is a substantially verbatim transcript of the proceedings; it records what was said<br />
as well as what was decided. Hansard reports proceedings in the language used by those speaking<br />
and it also provides a simultaneous passive interpretation service to ensure that a person without<br />
Irish is not placed at a disadvantage during Assembly sittings or some Committee meetings. In<br />
addition, the Office provides text translation and other miscellaneous services in respect of Irish.<br />
The Assembly Commission wishes to appoint an Interpreter/Translator with excellent interpreting,<br />
text translation and editorial skills in respect of the Irish language.<br />
The person appointed will be expected to provide simultaneous interpreting and text translation<br />
services to facilitate the proceedings of the Northern Ireland Assembly and may also be expected to<br />
provide other miscellaneous editorial/proofreading services in Irish and English.<br />
The role of Interpreter/Translator (Irish Language) is based in Parliament Buildings, Stormont Estate,<br />
Belfast. The role is 37 hours per week, usually undertaken Monday to Friday, however out-of-hours<br />
work, including evenings (particularly on days when the Assembly is sitting) and occasionally<br />
weekends, will be required, for which time off in lieu will be provided.</p>
<p>Main Duties<br />
The Interpreter/Translator (Irish Language) will be expected to:<br />
 Provide Irish to English, and on occasion vice versa, simultaneous interpretation fluently,<br />
confidently and accurately for Assembly plenary sittings, Committee meetings and any other<br />
events/functions as required;<br />
 Provide a written report of any Irish used during Assembly plenary sittings, Committee meetings<br />
and other events/functions as required;<br />
 Provide miscellaneous editorial services and advice in respect of Irish and English, including the<br />
translation of text, production of subtitles etc;<br />
 Work independently and as part of a wider team to produce excellent results;<br />
 Act on advice and direction from managers and undertake any reasonable task as and when<br />
required;<br />
 Manage their own performance and take the initiative to identify their personal development<br />
needs and how those needs can be met;<br />
 Perform the duties in line with the scheduling and timing of Assembly business, which can mean<br />
working, without notice, unsocial hours and being unable to take leave other than during recess<br />
periods, which are themselves subject to change.</p>

<p><span style="font-weight: 400;">This is an excellent opportunity to join a busy customer-facing team, providing front-line support and administrative assistance within a fast-paced office environment.</span></p>
<h3><b>Key Responsibilities</b></h3>
<ul>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Deliver a professional front-line customer service to visitors and service users.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Respond to customer enquiries and provide information or direct queries to the appropriate team.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Manage and update spreadsheets and electronic records accurately.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Provide daily administrative support to the senior administration and patch management team.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Assist with general office duties and maintain accurate records.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Work collaboratively with colleagues to ensure an efficient customer service.</span></li>
</ul>
<h3><b>Essential Criteria</b></h3>
<p><span style="font-weight: 400;">Applicants should be able to demonstrate:</span></p>
<ul>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Previous customer service or administrative experience.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Intermediate IT skills, including experience using Microsoft Office applications.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Excellent communication and interpersonal skills.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Strong organisational skills with the ability to manage a busy workload.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Good attention to detail and the ability to maintain accurate records.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Ability to work effectively as part of a team.</span></li>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Basic Access NI clearance (required prior to commencement).</span></li>
</ul>
<h3><b>Desirable Criteria</b></h3>
<ul>
<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Experience working within a public sector or customer service environment.</span></li>
