Visitor Experience Officers are usually the first-person visitors will meet in Parliament Buildings.<br />
They are responsible for the following main duties: meeting and greeting visitors to Parliament Buildings; signposting and providing information; reception duties – signing visitors into the Building and issuing their security passes; welcoming visitors in Parliament Buildings’ Great Hall; providing a range of guided tours of Parliament Buildings; providing administrative and operational support for activities undertaken by the Visitor Experience team including, but not limited to, event organisation (internal and external).</p>

Main duties and responsibilities of the job.</p>
<ul>
<li>Providing high quality customer service to a diverse range of stakeholders and visitors;</li>
<li>Greeting visitors at reception and providing information, signing in visitors and providing security passes;</li>
<li>Welcoming visitors to Parliament Buildings and the Great Hall, maximising opportunities to engage, providing a warm, friendly welcome to Parliament Buildings, connecting people and providing helpful, accurate information and signposting as required;</li>
<li>Providing tours of Parliament Buildings to a wide range of audiences in a confident, inclusive, politically neutral and engaging manner.</li>
<li>Assisting the Visitor Experience Supervisor and the Visitor Experience Manager to continuously improve and develop and Visitor Experience team by providing input, ideas and feedback.</li>
<li>Assisting with event management and delivery, problem solving and assisting event organisers as required;</li>
<li>Working closely with colleagues within the Visitor Experience team and being flexible and dynamic in relation to service delivery;</li>
<li>Building and maintaining good relationships with colleagues from other business areas and with Members.</li>
<li>Managing electronic mailboxes, phone calls and dealing with routine correspondence accurately and promptly and forwarding to relevant staff as appropriate.</li>
<li>Assisting in the gathering of information for distribution through internal and external communication channels, including but not limited to social media.</li>
<li>Gathering information and feedback and using Microsoft Office and bespoke internal</li>
<li>Assembly software systems and databases effectively to prepare documents.</li>
<li>Managing own work to ensure the delivery of objectives.</li>
<li>Providing high quality and timely administrative support, for example filing, photocopying and diary management.</li>
<li>Inputting data and maintaining records in databases, spreadsheets and electronic filing systems to aid the storage and retrieval of electronic documents.</li>
<li>Organising and providing support to meetings, events and visits including issuing papers, ordering hospitality, meeting and greeting external visitors and officials, and responding to any queries</li>
<li>Recording information to support the production of minutes and draft minutes</li>
<li>Checking and processing invoices for payment through electronic payment system.</li>
<li>Complying with the Northern Ireland Assembly Commission’s (the Assembly Commission’s) staff policies and procedures including Equal Opportunities and Dignity at Work policies and procedures.</li>
<li>Carrying out other duties that the Assembly Commission reasonably requires of you.</li>

<p>The duties of this post require attendance at Parliament Buildings on each working day.</p>

The successful candidate will be required to:<br />
Work within a small team to deliver a range of services which will include, but is not limited to, the following:<br />
• Contact tenants by telephone and arrange appointments.<br />
• Schedule or reschedule all appointments to suit tenants and or business needs<br />
• Process  sub-contractor completions and input real time events for job completion.<br />
• Correlate out of hour’s task data and track task progress, and process accordingly to meet deadlines.<br />
• Communicate effectively with Tenants, NIHE staff and other statutory bodies.<br />
• Deal with tenants queries, effectively and efficiently.<br />
• Save and retain a variety of documents for audit purposes.<br />
• Use of both the DLO IT systems and HMS (Housing Management System).<br />
• Have a comprehensive knowledge of the schedule of rates<br />
• Carry out inspections for missing data, certificates and other system compliance issues.<br />

<p>Apple Recruitment are recruiting on behalf of our public sector client for an Admin Officer to join their Team based in Craigavon</p>
<p>This is an excellent opportunity for an organised and detail-oriented administrator to support governance, reporting and office administration within a busy Asset Management department. The successful candidate will play a key role in maintaining accurate records, supporting meetings and ensuring effective administration across the team.</p>
<p>Key Responsibilities</p>
<ul>
<li>Provide administrative support to the Governance &amp; Administration Team, including preparing meeting documentation, recording minutes and distributing supporting papers.Assist in collating and presenting monthly financial and statistical reports, ensuring information is accurate, correctly formatted and produced within agreed timescales.Use internal systems and databases to produce reports and management information as required.Coordinate and monitor progress against Asset Management Risk Register actions.Organise venues and arrangements for team meetings, events and meetings with external service providers.Assist with monitoring governance arrangements and audit recommendations, including Internal Audit, TIU, DfC and NIAO actions.Maintain efficient office administration systems and records management processes, ensuring compliance with GDPR.Support internal communications, including the production of Huddle articles and other communications.Engage with tenants and customers, collating information and providing data to management.Maintain central records of Asset Management policies, ensuring review schedules remain up to date.Carry out general administrative and office duties as required.</li>
</ul>
<p>Essential Criteria Applicants must meet one of the following:</p>
<ul>
<li>BTEC National (or equivalent) plus 1 year&#8217;s relevant general administrative experience.OR 5 GCSEs (or equivalent) plus 2 years&#8217; relevant general administrative experience.OR Candidates without the above qualifications who can demonstrate 3 years&#8217; relevant general administrative experience may also be considered.</li>
</ul>
<p>Applicants must also demonstrate:</p>
<ul>
<li>Experience using Microsoft Office applications.Experience working to tight deadlines within a team environment.Experience creating electronic documents.Experience providing accurate information with a high level of attention to detail.Intermediate IT proficiency.Basic Access NI clearance (required prior to commencement).</li>

<p>This is an excellent opportunity for an organised, compassionate and customer-focused administrator to join a busy Housing Solutions team, providing key administrative support and assisting with customer enquiries and casework.</p>
<p><strong>Key Responsibilities</strong></p>
<ul>
<li>Provide general administrative and clerical support to the Housing Solutions team.</li>
<li>Use the telephony system to answer incoming customer calls and provide a professional and compassionate service.</li>
<li>Monitor and manage main inboxes, responding to customer queries in a timely manner.</li>
<li>Draft written responses to customers and assist with responses to letters and complaints on behalf of the Business Area Manager.</li>

<li>Take responsibility for the accurate and timely completion of assigned tasks.</li>
<li>Provide cover arrangements within the office when required.</li>
<li>Undertake other relevant administrative and ad hoc duties as required.</li>
