<p>On behalf of our client, we are seeking a motivated and detail-oriented Administrative Support Officer to join a busy healthcare team.</p>
<p>The successful candidate will manage telephone and visitor inquiries, process referrals, support internal and external communication, maintain accurate records and filing systems, and assist with meetings and events.</p>
<p>This role requires strong organizational and IT skills, excellent written and verbal communication, and the ability to prioritize tasks effectively while contributing positively to the team environment.</p>
<p>&nbsp;</p>
<p><strong>Main Duties / Responsibilities </strong></p>
<ul>
<li>Effectively deal with telephone calls from patients, relatives, parents/carers, hospital teams, community teams and general practitioners and other individuals or organisations, taking messages, ensuring follow-up and resolving any problems as appropriate.</li>
<li>Deal with all visitors to the department in a courteous and friendly manner.</li>
<li>Facilitate communication within the department by liaising with relevant staff, other departments and facilities as necessary, e.g. requesting information, reporting faulty or broken equipment to Estates Services.</li>
<li>Register all referrals onto ENCOMPASS, process partial booking letter’s when required, update and check systems for required information in a timely manner complying with Integrated Elective Access Protocol (IEAP)</li>
<li>Prioritise own workload with assistance from the Administration Officer as and when necessary to meet deadlines</li>
<li>Type letters, reports, memorandums and minutes as required. A high level of word processing skills are required and the post holder will also be required to have skills on Microsoft Office software- Outlook , Excel and other packages as and when required.</li>
<li>Format all reports/letters to be distributed on behalf of the team in a timely manner.</li>
<li>To support team members in the preparation and distribution of materials and resources required for presentations, training purposes and other events. This may include laminating, binding, photocopying and stapling.</li>
<li>To take responsibility for organisational elements relating to meetings, stationary/office supplies e.g. booking venues, ensuring equipment is available and resources are prepared, ordering via e-procurement.</li>
<li>To organize, manage and maintain filing systems both manually and electronically</li>
<li>General office duties will be part of the role of the post holder i.e. processing of incoming and outgoing mail, maintenance of a tidy and organised office, distributing information and dealing with queries from staff.</li>
<li>To consistently contribute towards maintaining a positive environment and good team morale.</li>
<li>To be responsible for the reporting of faults or risks within the working environment in line with Trust Procedures.</li>

<p>To assist in the provision of a comprehensive, high quality and efficient pharmacy service to Healthcare in Prison. The post holder will work as an effective member of the Healthcare in Prison Pharmacy team providing comprehensive Medicines Management and dispensing services.</p>

<p><strong>Key Duties</strong></p>
<p><strong>Dispensary </strong></p>
<ul>
<li>Assist in the provision of all aspects of the dispensary services to Healthcare in Prison under the supervision of a pharmacist.</li>
<li>To dispense prescriptions for patients using the pharmacy computer system.</li>
<li>Participate in the treatment room pharmacy service including monitoring stock usage and liaising with the Primary Care nurse with regards to stock control.</li>
<li>Responsible for monitoring fridge temperatures and fridge logs, taking appropriate action to ensure the cold chain is maintained.</li>
<li>Perform duties in accordance with the department’s safe systems of work and procedures including the use of equipment and machines, handling of chemicals, lifting and handling.</li>
<li>Maintain equipment and dispensing areas in a clean and orderly manner.</li>
<li>Process returns from treatment rooms and ensure they are safe for reuse.</li>
<li>Ensure the safe disposal of medication deemed unsuitable for reuse</li>
</ul>

<p><strong>Medicines Management </strong></p>
<ul>
<li>Issue self-administration medication to patients, providing medication counselling where appropriate.</li>
<li>Assist nursing staff with administration of Controlled Drugs and the maintenance of Controlled Drug registers and the Controlled Drug Cabinet.</li>
<li>Ensure that appropriate stock levels of medications and pharmacy items are available in each treatment room by providing efficient top-up services and ensuring that all daily requisitions are processed.</li>
<li>Assist relevant pharmacy personnel in the optimisation of pharmaceutical product use by monitoring stock levels, managing non-stock items, checking expiry dates and processing returns.</li>
<li>Responsible for monitoring fridge temperatures and fridge logs, taking appropriate action to ensure the cold chain is maintained.</li>
<li>Make appropriate entries on patients computerised medical records (EMIS system) regarding medication concerns.</li>
<li>Responsible for the re-ordering of patients repeat medications ensuring continuity of supply at all times.</li>
<li>Responsible for regular monitoring of self-administration medications to ensure that patients are not abusing/misusing their medication.</li>

<p><strong>Essential Criteria</strong></p>

<li>A minimum of 2 years’ experience working as a Student Pharmacy Technician, or equivalent, for a minimum of 14 hours per week.</li>
<li>Shortlisting by Application Form  Qualifications/ Registration BTEC and NVQ3 in Pharmacy Services, or equivalent.</li>
</ul>

<p><strong>JOB SUMMARY</strong></p>
<p>The residential staff member will work as a member of a residential team to create a warm caring environment which meets the emotional, spiritual, physical and intellectual needs of a group of Looked After young people aged 10-18 years living in the residential home. The objective is to care for young people in a planned environment and the organisation and management of the home must be orientated towards the realisation of this goal.</p>
<p>&nbsp;</p>
<p><strong>ESSENTIAL CRITERIA</strong></p>
<p><strong>Experience </strong></p>
<p>At least one year minimum experience working with children and young people.</p>
<p><strong>Qualifications/ Registration</strong></p>
<p>Have obtained NVQ Level III Caring for Children and Young People or equivalent Health and Social Care related qualification.</p>
<p><strong>Other</strong></p>
<p>Be registered with, or prepared to register with NISCC. Must be available to work evenings, weekends, sleep in duties on rota basis.</p>
<p>An Enhanced Access NI will have to be applied once an offer of temporary contract has been made and accepted by the successful candidate.</p>
<p>Ability to drive a car and use of own car for business purposes to enable residential support worker to take young people out for appointments, activities and outings and to manage group dynamics within the home. To also drive the home vehicle when necessary, subject to the completion of a test with the Trust transport department, and contingent upon age (for insurance purposes). <i>This criterion will be waived in the case of a suitable applicant whose disability prohibits driving but who is able to organize suitable alternative arrangements in order to meet the full requirements of the post.</i></p>
<p>&nbsp;</p>
<p><strong>KEY DUTIES / RESPONSIBILITIES</strong><b> </b></p>
<ul>
<li>Together with other team members to share the responsibility for the care and supervision of young persons within the home during the night time hours.</li>
<li>Be required to be active throughout their shift in their care / supervisory duties and in carrying out specific instructions as directed regarding the supervision and monitoring of young people to ensure their safety.</li>
<li>Ensure that appropriate records are maintained, particularly those detailing observations and/or assessment of each young person, in accordance with statutory requirements and agreed policy and procedures.</li>
<li>Appropriately support and care for the young people in a crisis or significant event.  This will require relevant knowledge, skills and values including emotional intelligence and resilience as per Therapeutic Crisis Intervention model &amp; the Northern Ireland Framework for Integrated Therapeutic Care.  Care staff will receive ongoing training and assessment in these models, relevant to their role.</li>
<li>Keep in contact with parents/carers as appropriate (if situation during the night-time requires this), and as appropriate, other professional staff, regarding the needs of the young people.</li>
<li>Participate in staff meetings, consultations, group discussions, reflective practice and formal supervision as required.</li>
<li>Develop appropriate relationships which will promote the growth and development of the young people with the aim of encouraging emotional maturity and socially acceptable behaviour.</li>
<li>Maintain contact with the local community as required to meet the needs of the young people.</li>
<li>To foster a culture and ethos within the home in which the needs of children are paramount and which provides them with security, safety, care and education, enabling them to meet their full potential To be sensitive to the needs of individual children, taking account of race, culture, language and religion. This includes accompanying young people when necessary to places of worship, holidays, outings, and on other relevant occasions.</li>
<li>Contribute to the daily life of the home through engaging with the young people in activities such as bedtime routines, housework, maintenance of clothing, cooking and promoting personal care.</li>
<li>Assist with the supervision of clothing for young people, the care of furnishings and household equipment.</li>
<li>Administer medication, drugs and first aid in accordance with trust policy. Training and competency assessment will be undertaken.</li>
<li>Undertake household and domestic duties appropriate to the care of young people and the cleanliness and maintenance of the home.</li>
<li>Ensure that environmental safety is maintained; this includes completing night checks within the immediate home / building and responding to any alerts by safety / security systems (Fire Panels).</li>
<li>Participate in and contribute to training programs when appropriate. The role is contingent upon successful completion of all mandatory training as outlined by the Trust and RQIA Minimum Standards. All staff must attend training and pass to the expected standards as required for the role.</li>
<li>Undertake duties in connection with the proper receipt, recording and safe custody of public and trust fund monies for the facility.</li>
<li>Commitment to flexible working hours.</li>
<li>Engage / participate in handovers both at the beginning of the shift and the end; to ensure that effective communication and a team approach in the care of the young people is maintained. Ensure a working knowledge of all Risk Assessments and Individual Crisis Support Plans for each young person in the home, update risk assessments / ICSP’s / daily records as required and contribute to Corporate Risk Assessments for young people. Ensure appropriate action to identify, manage and report risk to maintain safety of young people, themselves and others according to Regional and Trust Safeguarding procedures.  All safeguarding events must be reported to the appropriate personnel. Use a partnership working approach with other professionals / agencies in the assessment, planning and implementation of actions agreed.  Agencies most likely to be working with are Shift Co-ordinators / OOH Manager (where appropriate) / RESWS / PSNI / Out of Hours GP / Hospital Services/Emergency Services.</li>
