Administrative Assistant – Gateway Services
Location: Belfast
Salary: Band 3
Hours: 37.5 hours per week, full-time
Duration: Temporary, 3 months
Working Arrangement: Full-time, with potential opportunities for homeworking following training and induction
We are currently recruiting on behalf of a public sector organisation for a Band 3 Administrative Assistant to join a busy team based in Belfast.
The successful candidate will provide administrative support within a sensitive service environment, assisting with the efficient receipt and processing of referrals, maintaining accurate information systems and supporting the wider team with day-to-day administrative duties.
This is an excellent opportunity for an experienced administrator who is organised, confident using computerised systems and able to work professionally and sensitively when dealing with members of the public and professionals.
Key Duties and Responsibilities:
- Input and process referrals using computerised information systems.
- Follow up on key information required for the processing and allocation of referrals.
- Maintain accurate waiting list and referral data in line with relevant standards and procedures.
- Word processing and maintaining spreadsheets, including data input and retrieval.
- Prepare letters, reports, minutes, statistics and presentations as required.
- Process incoming mail and emails and direct correspondence appropriately.
- Deal with general enquiries from clients, members of the public and professionals.
- Take and relay messages accurately and in a timely manner.
- Respond to requests for information and assist with resolving queries.
- Maintain electronic filing systems and accurate records.
- Carry out general office duties including photocopying and scanning.
- Maintain and process petty cash payments.
- Provide reception and switchboard cover, including meeting and greeting clients.
- Arrange appointments and meetings and contact clients regarding appointments.
- Provide assistance to clients who may be concerned, upset or anxious.
- Support colleagues and undertake other administrative duties as required to maintain effective service delivery.
Essential Criteria:
Applicants must be able to demonstrate:
- Four GCSEs at Grade C or above, including English Language, or equivalent, plus one year’s relevant experience; OR two years’ relevant experience.
- Relevant experience must include working with computerised data/information systems in a working environment.
- The ability to apply administrative knowledge and experience to a range of activities where the nature and demand of work may change.
- The ability to solve work-related problems and deal with first-line queries.
- Strong organisational skills, with the ability to prioritise workloads and meet demanding deadlines.
- The ability to handle sensitive and potentially distressing information appropriately.
- Knowledge and experience of relevant administrative systems and procedures.
- Awareness of the needs of users of administrative services.
Desirable:
- Previous administrative experience within the Health Sector.
