Job Title: Administrative Officer
Location: Belfast
Hours: Full-time, Temporary
Salary: £27,711–£28,598 per annum

About the Role
Apple Recruitment, on behalf of our client, is seeking an Administrative Officer to provide efficient, timely, and confidential administrative support across Finance, Procurement, Corporate Services, and the wider Office. This role is central to ensuring accurate financial processing, effective contract oversight, and smooth corporate administration.
Key Responsibilities
Finance Administration
- Process purchase orders and invoices, resolve queries, and maintain prompt payment statistics.
- Complete reconciliations including bank, VAT and nominal ledger accounts.
- Support financial reporting and monthly/annual performance information.
- Manage data input and analysis, including spend against nominal codes.
- Process expenses, travel bookings, postage, courier services, stationery orders and organisational POs.
Procurement & Contract Management
- Maintain NIPSO’s contract management database, ensuring compliance and oversight of renewals and spend.
- Assist with tenders, procurement exercises and contract management procedures.
Corporate Performance & Enquiries
- Respond to internal and external queries across finance, premises, IT, suppliers and contractors.
- Support co-ordination of contract procedures and information flow.
General Administration
- Prepare and book meeting rooms, ensuring facilities meet high standards.
- Support office operations including deliveries, photocopying, shredding, and stationery control.
- Maintain positive working relationships across teams and external suppliers.
- Provide wider Corporate Services support as directed.
Essential Criteria
- Minimum of 5 GCSEs (A–C) including English and Maths (or equivalent).
- At least 2 years’ administrative experience in a finance environment.
- Experience using Sage Accounts or similar financial software for processing and posting transactions.
- Experience producing bank reconciliations.
- Strong organisational skills with the ability to manage deadlines and competing priorities.
- Excellent written and verbal communication skills.
- Proficiency in MS Word and Excel for reporting and data extraction.
- Strong attention to detail, accuracy and team collaboration skills.
Desirable
- Qualification in business, finance, accounting or related field.
- Experience working within a public-sector finance or administrative setting.
