Job Title: Bereavement Services Admin Officer

Location: Mossley Mill, with a requirement to work at other Council sites as required

Duration: Temporary

Salary: £16.90 per hour

Hours: Monday – Friday, 9:00am – 5:00pm

Start Date: ASAP

Apple Recruitment is recruiting on behalf of our public sector client for a Bereavement Services Admin Officer based at Mossley Mill.

This is a sensitive and important administrative role within Bereavement Services, providing a professional, efficient and compassionate service to members of the public, funeral directors and other representatives within the bereavement sector.

The successful candidate will support the smooth running of crematorium services, including managing bookings, processing statutory and medical documentation, maintaining accurate records and responding to enquiries in a sympathetic and dignified manner.

Key Responsibilities

  • Take bookings for cremation services and ensure all required information is complete and accurately processed.
  • Receive, check and collate statutory, non-statutory and medical documentation in accordance with current legislation and procedures.
  • Check completed cremation documentation and ensure it is presented to the Medical Referee for authorisation.
  • Liaise with crematorium administration and registration services and process relevant documentation in a timely manner.
  • Prepare medical certificate notifications for registration purposes.
  • Maintain accurate manual and electronic records using Microsoft Office and relevant IT systems.
  • Ensure cremation documentation is appropriately archived and disposed of in accordance with statutory requirements.
  • Process monetary payments, reconcile receipts and maintain accurate cash-handling records.
  • Maintain financial records relating to services and goods purchased using relevant financial systems.
  • Liaise professionally with funeral directors, members of the public and other service users.
  • Respond to telephone, counter and written enquiries, including complaints, in line with service standards.
  • Provide a courteous, empathetic and sensitive service to bereaved individuals and other members of the public.
  • Maintain stationery and stock control systems.
  • Provide administrative support to Cemeteries Administration as required.
  • Work effectively as part of a team and provide a high level of internal and external customer service.
  • Comply with all relevant policies and procedures, including health and safety, data protection, safeguarding and risk assessment requirements.
  • Be available to work additional hours outside normal office hours when required by the service.

Essential Criteria

Applicants must have:

  • A good understanding of literacy and numeracy.
  • A minimum of 1 year’s relevant experience, including:
    • Experience working within a professional bereavement services environment.
    • Experience working in a busy, customer-facing office while working to tight deadlines in a sensitive environment.
    • Experience undertaking administrative and cash-handling duties.
    • Experience understanding, interpreting and applying regulations to ensure procedures are followed correctly.
  • Excellent customer service and communication skills.
  • The ability to listen, understand, accurately interpret, record and report information.
  • The ability to work effectively as part of a team.
  • The ability to demonstrate empathy and sensitivity when dealing with bereaved individuals and other service users.
  • The ability to work within strict legislative requirements and high service standards.
  • The ability to manage competing, time-sensitive priorities effectively.
  • Good knowledge of Microsoft Word, Excel and Outlook, with the ability to process, interrogate and present data.
  • A willingness to work overtime from time to time to meet the requirements of the service.

Desirable criteria may include:

  • Knowledge of cremation legislation.

The role may also involve occasional Saturday morning work from 8:30am – 10:00am to provide back-up support to Cemeteries Administration.
