Job Description

Apple Recruitment are recruiting for a Business Management Administrator (Band 3) on behalf of NI Medical and Dental Training Agency in Belfast area.

Main duties and responsibilities:

Business Management responsibilities:

  • To assist with the administration, processing and reporting of Medical and Dental Trainee Study Leave and Travel expenses claim. This will include:-
    • Liaising with Trainees, Educational Supervisors and NIMDTA Training
    • Support staff to ensure efficient processing of Study Leave applications and expense claims
    • Management of the Shared Business Management inboxes, responding to email enquiries
    • Ensuring claims are processed in line with NIMDTA Guidelines and policies
    • Checking accuracy of application and travel information
    • Updating and ensuring the accuracy of the Study Leave database
    • Monitoring of Study Leave expenditure and preparation of Study Leave reports
    • Maintenance of Study Leave course register
  • To assist with the administration and reporting of NIMDTA’s contracts and procurement activities. Supporting staff throughout the organisation ensuring compliance with procurement guidance.
  • To support NIMDTA staff in respect of HSC financial processes and systems including FPM and e-procurement and liaising with BSO Shared Service Centres.
  • To assist in the procurement of offsite venue bookings and co-ordinating supplier quotes.
  • To assist in the procurement and booking of flights and accommodation for NIMDTA staff and individuals working on behalf of NIMDTA.
  • To assist in the administration of Lay Representatives, maintaining the register and bookings diary and liaising with NIMDTA staff
  • To assist in compiling Performance Reports across all NIMDTA functional areas including the monitoring of Key Performance Indicators.
  • To deputise for the Business Management Officer(s) and provide appropriate cover within the Business Management team as required.

Reception Responsibilities

  • Act as the first point of contact for all visitors to NIMDTA premises ensuring they are greeted and assisted in a professional, appropriate and courteous manner.
  • Monitor visitor access and maintain security awareness
  • Organise meeting room bookings, liaise with Administrative and Facilities Management personnel to co-ordinate arrangements for meetings, courses and events within NIMDTA premises.
  • Answer telephone, screen and direct calls and relay messages
  • Receive and sort incoming mail, outgoing mail and deliveries

Applicants must, by the closing date:

1a.) Five GCSE’s (including GCSE English Language and GCSE Maths (Grades A* – C) OR equivalent qualification to demonstrate literacy and numeracy OR Higher Qualification.

OR

1b.) 18 Months’ relevant experience.

2.) One year’s experience working with Microsoft Office (e.g., MS Word, MS Excel, MS Outlook), or similar.

3.) Ability to use own initiative and work independently or as part of a team to ensure that performance targets and objectives are met.

4.) Ability to prioritise work to achieve set deadlines.

5.) Effective communication skills, orally, written and electronically.

6.) Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment. This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the Organisation which will permit them to carry out the duties of the post.

 

Further Details:

  • Hourly Rate: £11.67
  • Hours: 37.5 hours, Mon-Fri 9am-5pm
  • Duration: Up to 3 months with possibility of extension
