Estates Contracts Lead Administrator (Band 4)

Location: Lisburn
Salary: Band 4
Hours: Full-Time, 37.5 hours per week
Working Pattern: Monday – Friday (Flexi-time available)
Duration: 6-month maternity leave cover (with possible extension)

About the Role

On behalf of our client, we are delighted to be recruiting for an Estates Contracts Lead Administrator (Band 4)

This is an excellent opportunity for an experienced estates, contracts, procurement or administration professional to provide key support in the management and administration of estates service contracts.

 

Key Responsibilities

  • Ensure all appropriate service contract equipment is linked to asset registers and updated as required
  • Collate contract information including tender returns, tender assessment and award criteria, tender analysis and outcomes
  • Provide administrative support for tender assessment criteria, marking systems, tender analysis, contract information, clarifications, certificates, Health & Safety documentation, insurance information, award letters, regret letters and Terms & Conditions
  • Issue relevant contract details including award information to contractors, contract administration staff and contract owners
  • Set up and arrange CAG group meetings, record and distribute minutes
  • Provide diary management support for the Estates Contracts Manager if required
  • Review contractor payments, ensuring accuracy and escalating issues where required
  • Collate review information for audit and yearly review of service and maintenance contracts
  • Upload review information onto databases and produce reports for audit and compliance purposes
  • Liaise with staff, contractors, external bodies and relevant stakeholders
  • Arrange annual contract review meetings, including invitations, room bookings, attendance and distribution of minutes
  • Manage statutory compliance reports including LOLER associated with specific service contracts/equipment through online portals

 

Essential Criteria

Applicants must demonstrate:

Experience

  • Experience working at Band 3 level or equivalent (circa £20k–£22k) or above in:
    • A busy office environment
    • Financial processing responsibilities
    • Microsoft Excel and Microsoft Word (or equivalent), including setting up and maintaining complex spreadsheets and documents
    • Data entry and data analysis using computer-based systems
    • Dealing with queries from a wide range of stakeholders
    • Managing difficult and challenging situations
    • Knowledge of administrative policies and procedures

Qualifications

Applicants must meet one of the following:

  • HNC/D or equivalent/higher qualification in Administration/Business related subject AND 1 year relevant post-qualification experience working at Band 3 level or equivalent
    OR
  • NVQ Level 3 or equivalent/higher qualification in Administration/Business related subject AND 2 years relevant post-qualification experience working at Band 3 level or equivalent
    OR
  • 4 years relevant experience, including 3 years working at Band 3 level or equivalent
