Job Description

Apple Recruitment are recruiting for a Foundation Programme Executive Officer for on behalf of NI Medical and Dental Training Agency in Belfast area.

Main duties and responsibilities:

  1. FOUNDATION TEACHING

To coordinate the Foundation year 2 FLiGHT Teaching modules in line with the UKFPO Foundation curriculum to include:

  • Working with the Foundation Deputy Director on FLiGHT
  • Coordinating & planning the FLiGHT schedule with the facilitators
  • Providing advice to the F2’s and Trust contacts
  • Working with the Band 3 to coordinate the sessions throughout the academic year
  1. FOUNDATION RECRUITMENT

To co-ordinate the organisation of the Foundation Recruitment process in line with UKFPO within the Foundation School. This will include:

  • Liaising with Director & Deputy Director of Foundation school, and Foundation Programme Directors to determine the process of recruitment
  • Create and manage recruitment exercises electronically via the Oriel online application system
  • Coordination of dates and panel membership for shortlisting and interviews
  • Coordinate interview schedules
  • Prepare documentation for interviews
  • Assist with arrangements for pre-employment checks, including references, for those appointed.
  1. FOUNDATION SCHOOL BOARDS & TRAINING COMMITTEES

To assist with Foundation School Board and Foundation Programme Director Committees to include:

  • Communication with members regarding meetings
  • Preparing Agendas and taking minutes when required
  • Undertaking follow up actions as required
  • Providing advice and information to the Foundation School Board and Foundation Programme Director Committees
  1. ALLOCATION OF PLACEMENTS

To assist with managing and updating the allocation of placements for all Foundation placements in accordance with NI Foundation School policy.

  1. ARCP & Revalidation

To administer the Annual Review of Competency Panel (ARCP) process for Foundation trainees in accordance with UKFPO Guidance, Deanery policy and the Gold Guide to include:

  • Coordination of dates and schedule of assessment
  • Circulation of materials prior to assessment and collation of trainee’s documentation
  • Circulation of documentation to the relevant Medical Schools or Faculties
  1. FOUNDATION INDUCTION

To coordinate arrangements for relevant Foundation Educators, including confirming programme, booking speakers, venue etc.

Applicants must, by the closing date:

1a.) GCSE Maths and GCSE English (A-C) OR equivalent qualification to demonstrate literacy and numeracy OR higher qualification

AND

2 A Levels OR equivalent OR higher qualification

AND

18 months’ relevant experience*

OR

1b.) A minimum of 3 years’ relevant experience*

2.) Experience in use of Microsoft office products including Word, Excel and PowerPoint.

3.) Ability to maintain and improve services, systems and customer service to meet high standards of quality and professionalism.

4.) Ability to ensure a high level of accuracy in own work.

5.) Ability to plan ahead and work to deadlines, including prioritisation of own workload and that of others.

6.) Ability to manage, analyse and evaluate information to aid effective decision making.

7.) Ability to plan, allocate and evaluate work for staff and self.

 

Desirable Criteria:

8.) Six month’s experience in co-ordinating arrangements for events.

9.) One year’s experience of providing administrative support to committees to include minute taking.

10.) Experience of financial administration, to include processing payments and invoices.

 

Further Details:

  • Hourly Rate: £12.86
  • Hours: 37.5 hours, Mon-Thurs 9am-5pm; Friday 8:30am-4:30pm
  • Duration: Up to 6 months with possibility of extension
