Job Description

Location: City Centre Type: Permanent, Part-Time (2.5 – 3 days per week) Salary: Competitive, based on experience. Expected Hourly rate between £13.50- £15.60 per hour.

We are recruiting on behalf of our client, a dynamic and reputable city centre organisation, for an experienced Administration Assistant with Accounts experience to join their team on a permanent, part-time basis. Supporting the Director, this is a varied and rewarding role that combines accounts administration with broader business support responsibilities.

Key Responsibilities:

Accounts & Finance

· Manage client invoicing and track payments.

· Maintain accurate financial records and assist with bookkeeping using Xero.

· Process supplier invoices and manage payments.

· Liaise with external accountants regarding VAT returns, payroll, and year-end accounts.

Administrative Support

· Assist in identifying and tracking relevant tender opportunities.

· Help prepare and submit tender documents, including fee proposals and PQQs.

· Maintain a library of standard bid responses and company information.

· Organize and maintain project documentation and records.

· Support contract administration and document control.

Office & Team Support

· Manage office supplies, software licenses, and subscriptions.

· Coordinate recruitment activities and onboarding of new staff.

· Arrange team meetings, training sessions, and staff events.

· Ensure health & safety compliance in the workplace.

· Assist with marketing tasks such as website updates, social media, and newsletters.

· Help plan and organize client hospitality and events.

Candidate Requirements:

· Previous experience in an accounts administration role.

· Proficient in accounting software such as Xero or Sage.

· Strong skills in Microsoft Office (Excel, Word, Outlook).

· Excellent organizational and communication abilities.

· Able to multitask and work independently in a busy environment.

· Must have the right to work in the UK on a permanent basis.
