On behalf of our client, an award-winning Architectural practice based in Belfast, we are seeking an Office Manager to join their team.
This is a new role and is permanent, part time (flexible but no less than 20 hours per week), requiring accounts experience, as you’ll be responsible for tasks such as processing invoices and liaising with accountants for VAT returns, payroll, and year-end accounts.
Supporting the Director, the Office Manager can expect a varied role. Duties include:
- Manage invoicing and payment tracking for clients and projects.
- Maintain financial records and assist with bookkeeping using Xero
- Process supplier invoices and payments.
- Liaise with accountants for VAT returns, payroll, and year-end accounts.
- Research and track relevant tender opportunities.
- Assist in preparing and submitting tender documents, including fee proposals and pre-qualification questionnaires (PQQs).
- Maintain an up-to-date library of standard bid responses and company information.
- Maintain project documentation and ensure records are well-organized.
- Assist with contract administration and document control.
- Handle insurance, professional memberships, and company certifications.
- Order office supplies, software licenses, and subscriptions.
- Support recruitment and onboarding of new staff.
- Organize team meetings and training sessions.
- Ensure compliance with workplace health & safety regulations.
- Assist with website updates, social media, and newsletters.
- Organize events and client hospitality.
Applicants will need:
- Strong financial administration skills, including invoicing and bookkeeping.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and accounting software.
- Excellent organizational and communication skills.
- Ability to multitask and work independently in a busy studio environment.
- You must be eligible to work in the UK on a permanent basis.
