Service Coordinator

Location: Antrim  

Duration: Permanent

Hours: Monday to Thursday 09:30am – 17:00pm, Friday 09:30am – 15:00pm

Salary: £13.75 per hour + Quarterly Bonus scheme

On behalf of our client, a company providing services and products throughout Northern Ireland, Ireland and the rest of the UK, we are seeking a Service Coordinator to join their team.

Our client is seeking an individual who would like to make a valuable contribution to this long-established commercial organisation and the post holder can expect to join an organisation that values its employees.

This is a crucial role in planning and managing the servicing department. This position involves supervising customer and fleet jobs to ensure a high level of customer service and ensure everything flows. You will be managing service schedules, overseeing deliveries, and keeping in touch with customers to guarantee a smooth and timely process. The role will require a good amount of administration, computer work, and phone calls, so if you thrive on being organized and enjoy having the autonomy to manage your tasks, this job might just be perfect for you.

Duties include:

  1. Proactively organise and schedule appointments and meetings to ensure effective diary management and optimal use of time with your team, customers & suppliers.
  2. Deliver comprehensive updates to the team during weekly meetings, showcasing departmental progress and insights via detailed reports.
  3. Maintain and enhance the bespoke CRM with up-to-date contact lists, ensuring seamless communication across the team.
  4. Efficiently create courier labels for deliveries and collections while providing timely updates to customers and suppliers to enhance satisfaction.
  5. Meticulously track parcel progress and promptly notify the relevant parties, ensuring transparency and reliability within your department.
  6. Execute document management tasks such as photocopying, scanning, filing, archiving, and shredding with utmost attention to detail.
  7. Input equipment details into the CRM daily, capturing photographs and detailed notes to support ongoing projects.
  8. Keep customers informed of service timelines, fostering trust and confidence in the operations.
  9. Collaborate closely with on-site and field technicians to gather timely updates, enhancing team efficiency and responsiveness.
  10. Prepare and send precise quotes to customers, request order numbers, engage with third parties, and efficiently manage parts ordering as needed.
  11. Strategically coordinate with drivers to optimise their schedules for seamless deliveries and collections
  12. Embrace additional responsibilities as assigned.

You will need:

  • Excellent customer communication skills.
  • Previous experience in a fast-paced office environment, ideally over 1-2 years.
  • interacting with Customers and Suppliers
  • A strong commitment to learning and evolving alongside the company.
  • A good working knowledge of Microsoft suite
