Receptionist Administrator
Location: Lisburn
Salary: £25,000 – £28,000 per annum (depending on experience)

Hours of Work
This is a permanent, full-time position. Monday to Friday: 9:00am – 5:00pm
Please note: This is a permanent, full-time position. Applicants must have the unrestricted
and permanent right to work in the UK. Candidates holding visas must be able to
demonstrate an ongoing right to work that is not subject to an expiry date or future
sponsorship requirement.

business services organisation based in Lisburn, for a Receptionist Administrator to join their
team on a permanent basis.

This is an excellent opportunity for a highly organised and professional administrator who

The role offers exposure to a wide range of administrative and client support activities
within a professional accountancy practice, with genuine opportunities for career

The Role
The Receptionist Administrator will be the first point of contact for clients and visitors while
providing essential administrative support to the accountancy team.
The successful candidate will be responsible for front-of-house duties, client onboarding
administration, engagement letters, and supporting the management of HMRC and
Government Gateway-related processes.

Key Responsibilities
Reception & Customer Service

  • Greet clients and visitors in a professional and friendly manner.
  • Answer incoming calls and direct enquiries appropriately.
  • Manage incoming and outgoing post.
  • Maintain a welcoming and professional reception area.
  • Schedule appointments and coordinate meeting room bookings.

Administrative Support

  • Prepare and issue client engagement letters.
  • Assist with onboarding new clients and maintaining accurate client records.
  • Support the team with HMRC-related administration.
  • Assist with Government Gateway registrations and account administration.
  • Process and file client documentation accurately.
  • Maintain electronic and paper filing systems.
  • Provide administrative support to accountants and other team members.
  • Assist with general office administration and ad hoc projects as required.

Client Support

  • Liaise with clients regarding documentation and information requests.
  • Ensure client information is maintained accurately and confidentially.
  • Respond to routine client enquiries in a professional and timely manner.
  • Support the delivery of a high-quality client service experience.

The Person
Essential Criteria

  • Previous experience in a Receptionist, Administrator, Office Administrator or similar role.
  • Excellent communication and interpersonal skills.
  • Strong organisational skills with excellent attention to detail.
  • Professional and confident telephone manner.
  • Ability to manage competing priorities and work effectively under pressure.
  • Good working knowledge of Microsoft Office applications, including Word, Excel and Outlook.
  • Ability to work independently and as part of a team.
  • Professional approach with a strong commitment to confidentiality.

Desirable Criteria

  • Previous experience working in an accountancy practice, financial services environment or professional services organisation.
  • Experience dealing with HMRC administration
  • Experience using Government Gateway services.
  • Familiarity with engagement letters and client onboarding processes.
  • Knowledge of accounting or practice management software.
